Before the tour
Add a short line to the booking reminder: bring a charged phone, mobile data, and headphones or earbuds. This prevents the QR code from being the first time guests hear that their phone is part of the experience.
Choose a joining point with room to stand safely and enough light for phone cameras. Start the guide console a few minutes early.
While guests join
Hold the QR code steady and large enough to scan. Ask guests to open the link, start audio, connect headphones, and adjust volume. Say a repeatable test phrase while monitoring the active-listener count.
A scanned code is not the same as active listening. The final confirmation should be that the guest hears the test phrase and the listener page remains connected.
Handle exceptions without stopping the group
Prepare a short alternative URL or second staff phone for guests whose camera does not scan. Keep a few battery packs, compatible adapters, or loaner devices based on the audience you serve.
For large departures, designate a support position and a ready position. This keeps unresolved device questions from blocking guests who are already listening.
